Privacy Policy

This policy explains how Incepium(“Incepium”, “we”) collects and uses your personal data when you use incepium.com, and the rights you have under UK data protection law. We are the data controller for the data described here.
Who we are

What data we collect
- Enquiry & fit data:your name, work email, company, website, message, and the answers you give in the “Check your fit” flow (approximate ACV band, monthly SQL need, and what you're exploring).
- Newsletter data: your email address and your marketing consent record.
- Attribution data: UTM parameters, the referring URL, and the page you landed on, so we can understand how enquiries reach us.
- Concierge chat transcripts (future): if and when we enable our AI concierge chat, the messages you send and our replies will be stored so our team can follow up. This is disclosed in the chat itself before you use it.
We practise data minimisation: we collect only the fields listed above and nothing more.
Why we use it, and our lawful basis
- To respond to your enquiry and assess fit — our legitimate interest in answering people who contact us about our services.
- To send you marketing updates — only where you have given explicit, unbundled consent (an unticked box you chose to tick). You can withdraw consent at any time.
- To understand and improve our site — our legitimate interest, supported by cookieless, aggregated analytics.
Who we share it with
We use a small set of processors to run the site and follow up on enquiries:
- Vercel — hosting of the marketing site and the endpoints that receive your form submissions.
- Plausible Analytics — EU-hosted, cookieless, aggregated site analytics (no personal profiles).
- Cal.com — scheduling, if you book a strategy call.
- Anthropic — processing of AI concierge chat messages, if and when that feature is enabled.
Enquiry and lead data is stored in our own admin system, which is the system of record. We do not sell your data or share it for advertising.
International transfers
Where a processor handles data outside the UK, that transfer is protected by an adequacy decision or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiry & fit data: for up to 24 months after our last contact, unless we enter an engagement, in which case it is retained for the life of that relationship and as required afterwards.
- Newsletter data: until you unsubscribe or withdraw consent.
- Chat transcripts (future): for up to 24 months, and deleted sooner on request.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to how we process it;
- data portability; and
- withdraw consent at any time, without affecting prior processing.

Cookies

Complaints
If you have a concern we haven't resolved, you can complain to the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk. We'd appreciate the chance to address it first.
